HomeMy WebLinkAboutItem 03.c City of Lakeville Administration Department Memorandum To: Mayor and Members of the City Council From: Allyn Kuennen, Assistant City Administrator Copy: Justin Miller, City Administrator Date: June 27, 2016 Subject: Technology Advisory Committee/Board/Taskforce The City Council requested staff to investigate the need to assemble an advisory group to address current and future technology needs within the city and throughout the community. It was originally thought the Cable Board could serve in this capacity with the addition of new members with IT experience. However, with the franchise negotiations with Charter taking longer than expected and the need to keep the Cable Board consistent until that franchise is completed, a separate new advisory board may need to be considered. This new group could be charged with the overall mission to advise the City Council on issues that can help the City leverage technology to make Lakeville more cost effective, competitive and forward thinking. If the City Council wishes to move forward with a technology advisory group, the following outlines a few options to consider: Taskforce Develop a short-term (twelve to eighteen months) research group of community members and staff. This group would be responsible for defining long term goals, priorities and strategies regarding the use, expansion of technology and infrastructure. The resulting plan could then be implemented with the use of an internal technology group consisting of staff. Advisory Board Develop an advisory board of community members that are supported by staff. This group would meet regularly or as needed to consider and make recommendations to the City Council regarding on-going efforts or proposals for the expansion of the City’s technology infrastructure. Technical Advisory Committee The committee would operate the same as an advisory board, but would consist of City, County and school district staff. This group would meet regularly or as needed to consider and make recommendations to the City Council regarding on-going efforts or proposals for the expansion of the City’s technology infrastructure. Responsibilities This new group’s main responsibilities would be to advise the City Council on issues that can help the City leverage technology competitively and foster forward thinking and innovative technology ideas, which may include:  Review city wide fiber or broadband deployment  Review LOGIS services (cost/benefit analysis)  Consider county fiber JPA coordination  Review internal and external technology policies Staff will be available at the June 27th City Council work session to review the above information and to discuss the need for a new a new telecommunications advisory group.
