HomeMy WebLinkAboutItem 06.gr January 19, 2010 Item No. Resolution Establishing Reimbursement Rate and Guidelines for Personal Use of a Cell Phone by City Employees Proposed Action Staff recommends adoption of the following motion: Move to approve the Resolution Establishing Reimbursement Rate and Guidelines for Personal Use of a Cell Phone by Employees. Overview The City has a Cell Phone Policy. The reimbursement rate for personal use of a cell phone was approved January 20, 2004. Since that time, the cell phone payment plans have changed. As such the City's reimbursement guidelines should change accordingly. The reimbursement rate for all personal calls will remain unchanged at $.10 per minute. However, staff is recommending that there will be no reimbursement for those calls which the cell phone company does not charge a fee for, such as mobile to mobile and nights and weekends. RESOLUTION ESTABLISHING A RATE AND GUIDELINES FOR PERSONAL USE OF A CELL PHONE BY CITY EMPLOYEES WHEREAS, the Lakeville Cell Phone Policy is as follows: Out-aoin-a Calls_ On a limited basis, or as the need arises, an employee may be allowed to make personal calls. These instances would include noting someone of unexpected overtime, medical emergencies, or other work-related matters. All personal calls must be kept to a minimum length. The City must be reimbursed on a monthly basis for all other personal calls. Incoming Calls. The employee has less discretion when responding to incoming calls. Incoming calls are considered to be business calls until such time as the employee can make a determination as to its purpose. If such a call is personal in nature and the employee elects to continue the conversation, the employee is responsible for reimbursement. NOW, THEREFORE, BE IT RESOLVED by the City Council of the City of Lakeville that a rate of $.10 per minute is hereby established for personal use of a City cell phone by employees for uses chargeable within or in addition to the Cell Phone Plan. BE IT FURTHER RESOLVED, that no reimbursement is required for those calls for which the cell phone company does not charge a fee such as "mobile to mobile" and "nights and weekends ".
